Working Together
A clear process, from the first diagnostic to a system that runs.
Working with us shouldn’t feel like a leap of faith. Here’s exactly how a project moves — what happens at each step, what we’ll need from you, and how we stay in touch the whole way. No guessing. No chasing.
Why a process
Most businesses don’t need more tools. They need a clearer path.
When inquiries slip through the cracks, the instinct is to add something — another app, another form, another automation. But the problem is rarely the tools, and it’s almost never effort. It’s the gaps between the pieces, where good inquiries quietly disappear.
So we don’t start by building. We start by diagnosing — mapping how homeowners actually reach you and where things break down. Only then does it make sense to build, because now we’re building toward something specific instead of adding to the pile.
Infrastructure first. We diagnose before we build, every time.
The starting point
Every project starts with a Revenue Leak Audit
Before any proposal, any build, any commitment, there’s one shared first step — the Revenue Leak Audit. It’s a paid operational diagnostic, and it stands completely on its own, whether or not you ever build anything with us.
The Revenue Leak Audit™
Why it exists
It gives you an honest, scored read on where your homeowner inquiry experience stands today — and it gives us a real picture of your operation before anything is proposed.
What happens
A structured diagnostic covering how inquiries are captured, organized, and followed up. You receive a findings report, a scorecard, and a recorded walkthrough — typically within 5–7 business days.
Why not everyone moves further
The audit is a complete deliverable on its own. Only a portion of audit clients are personally invited into a Build Review afterward — the invitation is based on fit, not on having completed the audit. If a system isn’t the right next move for you, you’ll still leave with a clear, honest picture of your operation.
If your audit leads to an invitation and you move forward within 90 days, the audit fee is credited toward the build — so a diagnostic you already paid for isn’t paid for twice.
Capacity plays a role too. I take on a small number of Foundation Builds each month — currently two to three — so every client gets real attention instead of a queue. Some months that means we can start right away. Some months it means a short wait.
The full path
From audit to a system that runs
A complete homeowner inquiry system, built and installed end to end. Here’s how it unfolds — and what you’ll experience at each step.
Where every project begins. A paid diagnostic of how your business handles homeowner inquiries today, and where revenue is leaking through the gaps. It’s a complete deliverable on its own — not a sales step. A clear, honest picture of where things stand.
If your audit points to a real opportunity, you may be personally invited into a Build Review — a closer look at how your business actually runs, so we can scope the right system and confirm we’re a good fit to work together. Not every audit leads here, and that’s by design. A clear build recommendation, and an honest read on fit — both ways.
If we’re both aligned, the Build Review becomes a complete, written proposal — exactly what we’ll build, the scope, and the investment, with nothing hidden. Once you approve it and the deposit is in, your build is scheduled. A plan you understand fully before you commit to it.
Before the build begins, we get you set up — credentials, brand assets, team structure, and a conversation to confirm scope and timeline in detail. This is where the operational specifics get gathered that a proposal alone can’t capture. An organized, confident start.
The system gets built, in order, over about four weeks. We map your inquiry journey in detail, design the architecture, build to that plan, then walk you through it so you understand how it works, not just how it looks. You give feedback in one organized pass before anything goes live. Your system, taking shape the right way — not the fast way.
We test the full inquiry path end to end, take it live carefully, and hand it over with a plain-language walkthrough and simple documentation. A clean, tested go-live — and confidence, not dependence.
About two to three weeks after launch, we check in to confirm everything’s working the way it should. If ongoing support makes sense for your business, System Care is available from there — by invitation, not by default. A system that’s adopted, not just delivered.
Scoped to your business
You don’t have to build all of it at once
The full system is what we build toward when it’s the right fit — but it isn’t a requirement, and it isn’t the same for every business. Some businesses need every layer. Some need only a focused part of it. Some start with a few modules and grow into more over time.
The Revenue Leak Audit and Build Review are how we figure out which of those is true for you. We scope the build to what your business actually needs first — the pieces that will move the needle now — rather than installing everything for its own sake.
Why this still feels like one system
Whatever we start with is designed to connect. A module installed today is built to fit the modules that may come next — so you’re never bolting disconnected tools together, and you’re never rebuilding later to make things work as one.
That’s the difference between adding to the pile and building infrastructure. Even a focused first step is built as part of a whole.
Start where it matters most. Grow into the rest when it’s right.
Working together
What we’ll need from you
This is a collaboration, and the smoothest projects share a few simple things. None of this is heavy — it just keeps the work moving.
- Communication — one point of contact who can answer questions and make decisions.
- Approvals — a clear yes (or specific changes) at the points where we need your sign-off.
- Feedback — timely, honest responses at review points, so we can refine without guessing.
- Assets — the details and materials we request to do the work well.
- Access — the logins or permissions a project needs, shared securely.
A project moves at the speed of the slowest missing piece — so when these come back quickly, everything goes faster. And we’ll always tell you exactly what we’re waiting on. You’ll never have to wonder.
Staying in sync
No guessing. No chasing.
You should never have to wonder where your project stands, or send a third email to get an answer. Here’s how we stay in step:
- Updates arrive at each milestone — what’s done, what’s next, and anything we need from you.
- Meetings happen when a conversation is genuinely useful — like the review walk-through — not for their own sake.
- Reviews are guided. We show you how things work, so your feedback is informed.
- Approvals are clear and simple, so the project keeps its rhythm.
We respond to messages within one to two business days, and we ask the same of you. That’s the whole secret to a calm project.
Going live
Launch & handoff
Launch is careful and deliberate — we don’t rush the most important moment.
Before anything goes live, we test the full homeowner inquiry path end to end: the experience, the routing, the notifications, the follow-up, on desktop and mobile. Nothing launches until it passes.
When we hand off, you receive a complete, working system, plain-language documentation, and the access you need to feel in control of it. Training is a clear walk-through in everyday language — no jargon, no overwhelm. The goal is simple: you should finish feeling confident, not dependent.
After launch
We don’t disappear after launch
A system only matters if it actually works for you once it’s live. So we check in once, deliberately — not as a formality, but because it’s the point where you’ve actually used the system long enough for anything real to surface.
About two to three weeks after launch — confirming everything’s running the way it should, and clearing up anything that’s come up now that you’re actually using it.
If ongoing support makes sense for your business, System Care is available from there — an optional monthly retainer that keeps your system maintained and improving. It’s offered by invitation, based on fit and where I have capacity. It’s never assumed, and it’s not for everyone.
Why we work this way
“The tools have changed. The expectation of good service hasn’t.”
There was a time when good service lived around a phone on the wall — someone who knew your name, remembered your last visit, and made sure nothing fell through. That standard never went away. What changed is that businesses got bigger and faster, and inquiries started arriving from six directions at once. Memory and good intentions couldn’t hold it together anymore.
A process is how we make sure that old standard survives at modern scale. We diagnose before we build, we build in the right order, we test before we launch, and we stay in touch after. Not because process is impressive — because it’s the only way good service happens consistently.
Good infrastructure is felt, not seen. When it’s working, you simply notice things stopped slipping.
Not every business is a fit. And that’s the point.
The Revenue Leak Audit is a paid, no-pressure way to find out exactly where your business is losing revenue — and whether building something further makes sense. If it is a fit, you’ll know exactly what happens next, because now you’ve seen it.
